ACCOMMODATION

GUARANT International has been appointed as the official hotel accommodation agent for the Joint Symposium of ICA Working Group on Cartography in Early Warning and Crises Management (CEWaCM)  and JBGIS Geo-information for Disaster Management (Gi4DM) entitled Cartography and Geoinformatics for Early Warning and Emergency Management: Towards Better Solutions (hereinafter Symposium) and will handle all related arrangements.

The Symposium will be held at hotel DIPLOMAT

A number of hotels of various categories at reduced rates will be available for participants of the Symposium.

LIST of HOTELS

All hotels are located within reasonable distance from hotel Diplomat.
Type of the room (standard/superior) at hotel Diplomat will be processed on the availability of the hotel’s capacity.
*Travelling time to the Congress Venue:

• Zone 1 – less than 5 min
  Zone 2 - from 5 to 10 min
  Zone 3 – more than 10 min

To make a hotel reservation, it is necessary to fill in the on-line ACCOMMODATION FORM.

 

Please note that the on-line Accommodation Form is only accessible with a password. Simply fill in the Personal Data Form and the password will be sent to you. Your password is the same for all on-line forms.

Reservations will be processed on a “first come, first-served” basis. Due to heavy demand and to the fact that distribution of rooms in hotels is limited, accommodation cannot be guaranteed after November 05, 2008 in hotels Diplomat and Denisa and after December 15, 2008 in hotel Masarykova Kolej.

However, GUARANT International will make every effort to meet participants’ requirements.

Any reservation made after above mentioned dates is subject to availability.

All rates quoted are per room per night including breakfast and 9 % VAT. Should VAT change before the beginning of the Congress, the Congress Secretariat will automatically change the price of your hotel room and inform you in writing about the new rate.

Extras are to be paid directly at the hotel reception before departure.

HOTELS DIPLOMAT AND DENISA

Reservation confirmation

A one-night deposit is required to guarantee the reservation in above mentioned hotels. After the first night deposit is received, your hotel reservation will be confirmed by e-mail. The remaining amount has to be paid directly to the hotel upon check-in/out.

A one-night deposit must be paid until November 05, 2008.

Cancellation conditions

Please inform the GUARANT International about any amendments or cancellations in writing by fax: + 420 284 001 448 or e-mail: c4c@guarant.cz. Telephone amendments will not be accepted. Please do not contact the hotel directly for any reservation changes or cancellations. The appropriate refunds will be made after the Congress.

The following cancellation conditions apply to the cancellation of a hotel reservation:

Change of the date of arrival is possible until 12 a.m. prior to the scheduled arrival date. In case the request of a change is received after 12a.m., 1 night cancellation fee will be charged.

In case of a no show, the room will be kept for the guest until 12 noon of the day following the date of expected arrival; the room will then be released.

HOTEL MASARYKOVA KOLEJ

Reservation confirmation

The full payment of hotel accommodation is required to guarantee the reservation in hotel Masarykova Kolej. After the payment is received, your hotel reservation will be confirmed in writing by e-mail.

Total amount must be paid until December 15, 2008.

Participants name should be clearly legible otherwise the payment cannot be identified. All payments made by bank transfer have to be net of all bank charges. To simplify the identification of your payment please enclose a copy of your bank transfer with the registration form and send it to the Congress  Secretariat fax number +420 284 001 448.

Credit Cards

Only Mastercard/Eurocard, VISA, Diners Club and American Express credit cards are accepted.

For the payment by credit card please use Online Payment System (available after login). Please note that payment through online system is available once the Letter of Confirmation is received.

You can also complete Credit Card Payment Authorization Form and send it signed by a card holder to Congress Secretariat by fax: ++420-284 001 448.

According to the Czech law, credit cards will be charged in local currency – Czech crowns (CZK) by using the exchange rate of the Czech National Bank on the date of payment. The approximate exchange rate is 1 EUR=24, 30 CZK (August 2008).
